Privacy Policy

Last updated: November 2, 2026

1. Introduction

Botfy ("we", "our", or "the Platform") is an AI-powered sales automation platform operated by Botfy AI. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our services at botfy.io and related APIs.

2. Information We Collect

2.1 Account Information

When you create an account, we collect:

  • Full name and email address
  • Company name
  • Password (stored as a bcrypt hash — we never store plaintext passwords)

2.2 Messaging Data

When your AI agents interact with end-users via WhatsApp, Telegram, Instagram, or web chat, we process conversation messages to generate AI responses. Conversations are stored per-tenant and are not shared across accounts.

2.3 Google Calendar Data

If you connect Google Calendar, we request the following OAuth scopes:

  • calendar.readonly — to check your availability (free/busy)
  • calendar.events — to create scheduling events on your behalf

We store an encrypted OAuth refresh token to maintain the connection. We do not read, store, or share the content of your existing calendar events. We only query free/busy time slots and create new events when requested by your AI agents.

2.4 Uploaded Documents & Media

Files you upload to the knowledge base or media catalog are stored in isolated, tenant-specific storage. They are used exclusively to power your AI agents' responses.

2.5 Instagram Data

A business can connect its own Instagram professional account so that an assistant it configures answers the direct messages the account receives. When you connect, Instagram asks for your consent, and we store:

  • Your Instagram account ID, username, display name and account type
  • The access token, encrypted at rest, with its expiry date, and the permissions you granted
  • The connection status, who connected it and when

About the people who message or comment on the connected account, we store:

  • Their Instagram-scoped ID, username and profile name (refreshed at most once every 7 days)
  • The text of their direct messages and of the assistant's replies, in the business's conversation history. Photos, audio and other attachments are not stored; only a marker such as "[photo]" is kept
  • If the business uses keyword comment replies: the comment ID, the post ID, the commenter's ID and username, the matched keyword and whether the reply was sent. The comment text itself is not stored

The assistant only writes to people who wrote to the account first, only within 24 hours of their last message, and sends at most one private reply per comment, within 7 days of the comment. We do not use Instagram data for advertising and we do not sell it. Message text is sent to our AI model provider to write the reply, as described in section 4.

3. How We Use Your Information

  • Provide and maintain the Platform's AI services
  • Authenticate your identity and manage your account
  • Process conversations between your AI agents and end-users
  • Schedule events via Google Calendar when you enable the integration
  • Track usage for billing and plan enforcement
  • Improve our services and fix bugs (using aggregated, anonymized data)

3A. Cookies and Similar Technologies

botfy.io asks for your choice the first time you visit. Necessary storage is always on. Analytics and advertising tools load only after you say yes, and you can change your choice at any time with the "Cookie preferences" link at the bottom of every page.

  • Necessary (always on): your cookie choice (botfy_cookie_consent, kept for 180 days) and, if you log in, the session that keeps you signed in to the dashboard.
  • Analytics (only with your consent): Vercel Analytics (Vercel Inc.) and botfy.live, our own analytics service. They tell us which pages are visited, in aggregate.
  • Advertising (only with your consent): Meta Pixel (Meta Platforms Ireland Ltd.) and Google Ads (Google Ireland Ltd.). They tell us which of our ads led to a visit or a sign-up. They set cookies on botfy.io (Meta: _fbp, _fbc; Google: _gcl_au, _gcl_aw), kept for up to 90 days, and Meta and Google may also use cookies of their own. Ad personalization is turned off in our Google Ads tag.

Meta and Google may process this data outside the European Economic Area, including in the United States, under their own safeguards for international transfers. How they use it: Google and Meta.

Turning advertising off deletes the Meta and Google cookies set on botfy.io. Cookies that Meta or Google set on their own domains follow their policies.

4. Data Sharing

We do not sell your personal data. We may share data only with:

  • AI model providers (e.g., OpenAI) — conversation text is sent to generate responses. No personal account data is included.
  • Infrastructure providers (Vercel, Supabase) — for hosting and database services, under their respective DPAs.
  • Payment processors (Stripe) — for billing, if applicable.
  • Analytics and advertising providers (Vercel, Meta, Google) — to measure how the site is used and which of our ads work, as described in section 3A.
  • Legal authorities — only if required by law or to protect our rights.

5. Data Security

We implement industry-standard security measures including:

  • Encryption at rest and in transit (TLS 1.2+)
  • Fernet-encrypted storage for OAuth tokens and API keys
  • Bcrypt password hashing
  • Tenant-level data isolation (multi-tenant architecture)
  • JWT-based authentication with short-lived access tokens

6. Third-Party Integrations & Revoking Access

You can disconnect third-party integrations at any time:

  • Google Calendar: Disconnect from your Botfy dashboard (Settings → Integrations) or revoke access directly at myaccount.google.com/permissions. Upon disconnection, we delete your stored OAuth tokens.
  • Telegram / WhatsApp: Remove the agent configuration from your dashboard. Conversation history is retained for your records but can be deleted upon request.
  • Instagram: Disconnect from your Botfy dashboard (Integrations), or remove Botfy from the apps and websites connected to your Instagram account. Either way, and also when Meta sends us a data deletion request, we delete the connection, the access token and the stored Instagram contacts at once. Leads and conversation history stay in the business's account as its customer records until the business deletes them or its Botfy account.

7. Data Retention

We retain your data for as long as your account is active. If you delete your account, we will delete all associated data within 30 days, except where retention is required by law or for legitimate business purposes (e.g., billing records).

8. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Export your data in a portable format
  • Withdraw consent for optional data processing

To exercise any of these rights, contact us at the address below.

If you messaged a business that uses Botfy (on Instagram, WhatsApp or any other channel) and want your data deleted, write to the address below. We process those conversations on behalf of the business, so we may pass your request to it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered users of material changes via email. The "Last updated" date at the top reflects the most recent revision.
